What FleetBolt does, what is free, and how it works day to day.
About FleetBolt
FleetBolt is UK fleet and plant machinery management software. It keeps every machine's details and history, its MOT, LOLER, tax, insurance, inspection and service dates, pre-start checks and defects, fuel and parts in one place, so nothing gets missed.
UK businesses that run vehicles, plant or farm machinery: construction, plant hire, agriculture, haulage, and waste and recycling. It works for a sole trader with a handful of machines as well as a business with a team.
It tracks the dates and keeps the records behind LOLER 1998 thorough examinations, PUWER 1998 inspections, MOT and PSV tests, and daily walkaround checks, so you have a dated history for each machine to show an inspector or insurer. FleetBolt keeps the records; the inspections themselves still need doing by the right people.
FleetBolt is owned and operated by Edenbrack Services Ltd, a company registered in Northern Ireland (NI744293). We run our own fleet of machines and use FleetBolt every day.
Dates and compliance
Enter the last MOT/PSV, LOLER, tax, insurance or safety inspection date for a machine and FleetBolt works out when the next one is due. Everything is listed as overdue, due within 30 days or later, in red, amber and green. When you record the inspection or renewal, the next date moves on.
Not yet. Overdue and due-soon dates are shown at the top of your dashboard and on the Key dates page every time you open FleetBolt, and you can download them as a PDF.
By the machine's reading, in hours, km or miles. Set a service interval and FleetBolt counts down from the reading at the last service, flagging it as it gets close.
You can add up to 3 photos to each event, so a photo of a LOLER report or MOT certificate stays in the machine's history. Uploading PDF documents is not available yet.
Machines, checks and costs
Record an event: service, repair, inspection, renewal or breakdown, with the date, reading, notes, who did it and up to 3 photos. FleetBolt shows what the event will update, such as the next LOLER date or the service countdown, before you save. The history can be filtered, searched and exported to CSV.
Operators complete daily, weekly or per-use checks on their phone. Every failed item raises a defect on the machine, and a failed critical item marks it Do not use until it is repaired. Anyone can also report a defect by hand. Checklists are part of Pro; reporting defects is free.
Yes. Enter the purchase price, expected sale value, years kept, finance, servicing, tyres, tax, insurance, fuel and labour, and FleetBolt works out the yearly cost and the rate per hour, per km or per hectare. These are planning figures from what you enter, and only the account owner can see them.
Fleet AI can add a machine from photos of its plate, and turn a batch of job photos or a few words into draft records for you to check. Nothing is saved until you confirm it. Free accounts get 10 messages a month; Pro includes 100.
Plans and team
Unlimited machines, key dates and service tracking, event history, defects and Do not use, running costs, the PDF reports and 10 Fleet AI messages a month. The free plan has no time limit.
Team members with Manager and Operator roles, pre-start checklists with sign-off and audit history, the fuel log and bulk tanks, parts and stock, and 100 Fleet AI messages a month.
No. Sign up, add your machines and use the free plan for as long as you like. You only need a card if you move to Pro, and you can cancel Pro at any time.
On Pro, the account owner invites someone by email address and role and gets a link to send them by text, WhatsApp or email. The link lasts 7 days. Managers can add machines and set up checklists; Operators record events, fuel, checks and defects. Only the owner sees costs and billing.
Phones, data and support
Yes. FleetBolt works in the browser on any phone or tablet, with the camera for photos. You can add it to your home screen so it opens like an app: on iPhone use Share, then Add to Home Screen; on Android use the browser menu.
You need a data connection to save records. The details of a machine or checklist you are part-way through adding are kept on the device until you finish, but checks, events and fuel fills must be saved while you have signal.
Data is encrypted in transit and at rest, and each business can only see its own records. Within a team, what people can see depends on their role. See our privacy policy for how we handle personal data.
